Sending cold outreach from your primary company domain is like commuting in a race car: it works until the day it very much does not. One bad campaign, a stale list, or an aggressive spam filter update can drag your main domain’s reputation down — and suddenly invoices, support replies, and internal mail start landing in spam. Secondary cold email domains exist to absorb that risk. Here is exactly how to set them up.
What secondary domains are (and why they work)
A secondary domain is a lookalike domain you buy purely for outbound — if your company runs on kocidsolution.com, you might send cold email from kocidsolution.co, trykocid.com, or kocidoutreach.com. Mailbox providers score reputation per domain, so mistakes on the sending domain never touch the domain your business runs on. Your main domain stays pristine for transactional and one-to-one email; your secondary domains carry the volume.
Step 1: Choose domains that look legitimate
- Stay close to your brand. Prospects will glance at the sender address.
getbrand.com,brandhq.com,brand.ioall read as credible; random word salads do not. - Avoid spammy TLDs.
.com,.co, and.ioare safe. Cheap TLDs like.xyz,.top, or.clickstart life with a reputation handicap. - Check domain history. Before buying, look the domain up in archive and blacklist tools. A previously burned domain is a liability at any price.
- Buy several. Serious outbound programs run three to ten secondary domains so no single domain carries too much volume.
Step 2: Configure DNS and authentication properly
Every secondary domain needs the same authentication rigor as your main one — SPF, DKIM, and DMARC records, plus a custom tracking domain if your sending tool uses one. Skipping this step is the fastest route to the spam folder. Our full SPF, DKIM and DMARC setup guide walks through each record. Two extra touches that matter for secondaries:
- Redirect the domain. Point the bare domain (and www) at your real website with a 301 redirect. A prospect who types the domain into a browser should land somewhere real — it builds trust and looks nothing like a throwaway.
- Set up a real mailbox with a face. Name, photo, signature. Replies and even delivery checks look at whether the sender resembles a human.
Step 3: Warm up before you sell
A brand-new domain that sends 200 cold emails on day one is a textbook spam signature. Give every new domain two to four weeks of gradual warmup — low daily volume, realistic conversations, slowly increasing sends — before the first real campaign. The full process is covered in our email warmup guide. During and after warmup, respect per-inbox ceilings: 20–50 cold sends per mailbox per day is the sustainable range, as explained in cold email sending limits.
Step 4: Structure mailboxes and volume across domains
A simple, resilient structure looks like this:
- 2–3 mailboxes per secondary domain (e.g.,
anna@,a.khan@,anna.k@). - 20–40 cold emails per mailbox per day after warmup.
- Volume spread evenly — never concentrate a big campaign on one domain.
With five domains and three mailboxes each, that is 300–600 safe sends per day — enough for most SMB outbound programs without ever endangering the primary domain.
Step 5: Monitor and rotate
Reputation is not set-and-forget. Watch bounce rates, spam complaints, and inbox placement per domain. If a domain’s metrics slide, pull it from rotation, let it rest on warmup-only traffic for a few weeks, and shift volume to healthy domains. Domains that stay damaged get retired — they cost a few dollars to replace, which is the entire point. Deliverability trouble usually shows up in your metrics before your reply rate collapses; our email deliverability guide covers the signals worth tracking weekly.
Common mistakes to avoid
- Sending cold email from the main domain “just this once.” That is the risk you built all this to avoid.
- Buying one domain and maxing it out. Concentrated volume defeats the purpose — distribute.
- Forgetting DMARC on secondaries. Unauthenticated lookalike domains are exactly what phishing filters hunt for.
- Letting warmup lapse. Keep a low level of warmup traffic running even on active domains.
Set up properly, secondary domains turn deliverability from an existential risk into a routine maintenance task. Your main domain stays clean, your outreach scales, and one bad campaign becomes a lesson instead of a crisis.
